Housing Specialist

SUMMARY
The Housing Specialist works closely with the Property Manager, the Chief of Housing and the people
we support, their families and the community at large. This person serves as the admin support to the
Unlimited Properties Department. The UP Team is responsible for achieving Life Unlimited’s goal of
providing exceptional quality, accessible, long-term financially sustainable housing to individuals with
Disabilities.


BASIC FUNCTIONS AND GENERAL RESPONSIBILITIES


ORGANIZATIONAL / CHO & UP SUPPORT
• Helps maintain official organizational plans for UP
• Type various correspondence, maintain documentation and file systems, make calls, copy
materials and perform other tasks as needed.
• Ensure all records for UP and CHO are kept electronically in a system that is secured and
easy to access by approved team members.
• Assist UP with our work order system, Fiix, to ensure that it is organized, well maintained,
and orders are being completed in accordance with our designated completion timelines.
• Scan, save and organize all receipts of UP prior to sending to finance.


LEASE MANAGEMENT
• Serve alongside the Property Manager to ensure leases meet all regulations for; DMH, HUD,
CMS, AHAP, DDRB and any additional regulatory entities.
• Work with individuals in services, Community Living Program Managers, Intake Manager.
• Assist with keeping leases between UPM, tenants and/or guardians, up to date as needed.
• Work alongside the Property Manager to make any necessary changes needed to the leases to
meet new requirements or changes that are approved by the CHO and COO—consult
attorney on changes when advised,
COMPLIANCE: CMS, HUD AND AHAP.
• Ensure tenants are current on their monthly rent/lease obligations. Monitors all fees,
including rent, rental and pet deposits, and maintenance and late fees accordingly.
• Additional contact for all HUD properties and acts as an additional Administrator for all
HUD leasing documents.
• Complete AHAP monthly paperwork, file required reports and perform certifications yearly.


HUD CERTIFICATION AND COMPLIANCE

• Assist in receiving and maintaining HUD certification to help with all HUD compliance.
• Keep resident files up to date.
• Recertify residents as needed, but at least annually.
• Be knowledgeable of changes in HUD regulations and implement corresponding changes.
• Work with LU if complaints are received regarding tenants not following HUD rules.
• Possibly assist with inspections of the properties if concerns are communicated.
• Assist with ensuring homes are repainted or repaired as needed when a tenant moves.


RESPONSIBILITIES:
Protects the rights of all individuals:
• Is knowledgeable about the rights of people with intellectual/developmental disabilities.
Provides regular and timely communication/feedback.
• Will be an active participant in tenants, guardians, family members, management, and
committee meetings to review any issues, training needs, and health and safety concerns.


Physical Expectations
• This position requires extended periods of sitting. It may require light to heavy lifting and
occasional stooping, kneeling, bending, and/or climbing stairs.
Working Conditions
• Office environment with noises from office equipment, telephones, and occasional small
machinery. May be exposed to bloodborne pathogens and/or infectious diseases.


QUALIFICATIONS
• Must have an associate’s degree or equivalent experience of at least two (2) years of
successful employment in a work environment similar to that described in this job
description.
• Previous property management experience and knowledge of HUD housing is preferred.
• Must become HUD and Real Page certified within the first month of employment.
• The ability to effectively and efficiently use computers or mobile devices to input, access,
modify, or output information. This includes the ability to quickly access, store and retrieve
data.
• Must carry minimum coverage applicable by law for auto insurance.
• Must obtain and maintain training and certification in all required areas
• Great organizational skills are critical for success in this position as is one’s ability to
autonomously maintain a database that will assure timely documentation and communication
to all stake holders within the organization.
• Demonstrate professionalism and ensure confidentiality of all information.
• Utilize appropriate means of communication, effectively speak, read and write English.
• Able to think and act calmly to meet unusual occurrences of the job.

• Excellent problem-solving skills, ability to coordinate multiple projects at once.
• Excellent working knowledge and ability with Microsoft Office and Adobe products.
